CUSTOMER & SUPPLIER PORTALS

A portal shaped to your process, not the other way round.

We build customer portals and supplier portals for companies whose process does not fit an off-the-shelf product. Your clients and vendors find their own answers — and your team stops being the lookup service.

Let's talk

You probably need this if

THE STATUS INBOX

“Where is my order?” arrives by e-mail, someone opens the ERP and types the answer back into a reply. For every customer, every week.

DOCUMENTS EVERYWHERE

Contracts, invoices and delivery notes sit in inboxes, on shared drives and on somebody's desktop. When a customer asks for a copy, finding it costs someone half an afternoon.

SUPPLIERS BY E-MAIL

Supplier onboarding runs on PDF attachments and reminder e-mails. Certificates expire unnoticed, and invoices arrive in whatever format suits the supplier that day.

THE PER-SEAT BILL

Client portal software priced per user works fine — until “user” means every customer you have. Seats for external accounts turn a tool into a tax on growth.

What we build

A customer portal on your data

Order status, invoices, project progress, support history, self-service. The data is read live from the systems where it already lives — no second copy to maintain.

A supplier portal for the other direction

Supplier onboarding, purchase orders, delivery confirmations, invoice submission and compliance documents — certificates and insurance with expiry tracking. One place instead of a shared mailbox.

Login, roles and SSO

Supabase Auth, sign-in by e-mail link or password, single sign-on where the other side runs on Microsoft or Google. Roles make sure each account sees its own data and nothing else.

Integration with your ERP and accounting

The portal reads from your ERP, accounting system or shop and writes back to them. It is the front door to the systems you already have — not another system.

Documents in one place

With access rules and an audit log: who viewed, downloaded or uploaded what, and when.

The honest advice first

If an off-the-shelf portal covers what you need, we say so before you spend on custom work. Building bespoke pays off when the process is yours — not when it is generic.

How we work

  1. 01

    One interaction, walked through

We take a typical customer or supplier request and follow it from arrival to resolution: where the data lives, who touches it, and what the reply actually contains.

  2. 02

A first version with one job

The first thing to go live is the feature that removes the most e-mails — order status, say, or invoice submission. On real accounts and real data.

  3. 03

    Extended by usage

What people click on, and what they still ask by e-mail, shows what the portal should do next.

Plendoo — a team operations platform with client access

We run our own projects, sprints, time tracking, invoicing and finances on Plendoo — and clients see their projects and progress in it. The same building blocks — roles, live data, external users — go into the portals we build for clients.

Questions about portals

Should we build a portal or buy portal software?

Buy when your process is standard and the number of external users stays bounded — an off-the-shelf product will be faster and cheaper. Build when the portal has to mirror your specific process, plug into your systems and serve any number of customers or suppliers. We will tell you which side you are on in the first conversation — even if that means you buy nothing from us.

How do customers and suppliers log in?

Accounts are created by invitation. Sign-in works by e-mail link or password, and for business counterparties by single sign-on with Microsoft or Google. Roles keep each account limited to its own records. External users install nothing — a browser is enough.

Where is the data hosted, and what about GDPR?

Hosting is in the EU, and Being Labs is a Czech company, so the whole relationship sits under European law. A portal also usually creates no new copy of your data — it reads from the systems where the data already lives. A data processing agreement is standard, and the audit log shows who accessed what.

Can you integrate the portal with our existing ERP or accounting system?

Yes — that is usually the whole point of building one. Where an API exists we use it; where it does not, exports or direct database access do the job. The portal then shows live data and writes submissions — a supplier invoice, say — back into your system.

What does a custom B2B portal cost compared to per-seat software?

A custom portal is a one-off project plus modest running costs — with no fee per external account. With per-seat pricing the bill grows with every customer; the crossover often comes at a few dozen external users. We quote per project after the first conversation.

How long until customers can log in for the first time?

A first version with one job is a matter of weeks, not months — because we start with the feature that saves the most e-mails, not with the whole vision. The rest of the portal grows with actual use.

Show us the e-mails.

Describe the questions your customers or suppliers ask most often. We will tell you whether a portal of your own is worth building — and say plainly when an off-the-shelf tool is enough.
